It’s not that the staff is lazy, or you would let them go…or, should. Perhaps they are hard-working people, but you just think it could be done differently…better.

Fortunately, there are ways to encourage production, while encouraging the staff at the same time. In fact, I believe that is the key. Encouragement, all the way around. Read on to learn more about how everyone can benefit from just a few easy steps.

1. Ergonomics

We have all heard, and probably experienced all the aches and pains that come from sitting at a desk all day. I know I have too much experience with low back pain and being in a sitting position most of the day can be excruciating, long before it’s time for my work day to end.

However, there are tools to help diminish this pain, as well as carpal tunnel, and even eye strain. Dr. Amy Grabowski speaks of the important role that ergonomically enhanced tools and furniture can have on our bodies, such as a lumbar chair and wrist pad for the keyboard.

A good lumbar chair can help by taking off some pressure on the back, relieving other associated pains such as leg and  hip. Consider it an investment that will pay off quickly, because if an employee is comfortable, they are more likely to produce more than if they were in pain.

A wrist pad for the keyboard can help with Carpal Tunnel, a common ailment for people who work on computers all day. If an employee develops CT, it could lead to weeks off for surgery. They don’t want that, nor do you.

Also, make sure all chairs and monitors are set at proper heights for optimum performance. Feet should be resting on the floor, and eyes looking directly into the middle of the monitor, without bending the neck. If they are not adjustable, use a box or a couple books to adjust either one.

2. Regular Staff Meetings

Having regular staff meetings, either every week, or bi-weekly can open up communication before trouble brews to a boiling point. It also allows the opportunity to brain storm with your employees. They may have some good advice and tips on how to run the office more efficiently.

The key to a successful staff meeting is to have it organized with an outline ahead of time, and to listen, listen, listen. Make sure they know they can speak their mind without repercussion.

Book the meeting for enough time to actually discuss ideas and changes, rather than simply reading them off the list. It would also be nice to have a pot of coffee brewing and some donuts or bagels if it’s an early morning meeting, so they don’t have to rush there without breakfast. A well fed mind and body can produce more as well.

3. Open Communication

Employees want to know they can come to you to discuss issues as they arise. Make sure they know they are able to knock on your door without feeling as though they have irritated you for the interruption. But, most importantly, listen. Take notes if you have to, and ask for some time to think about what they just suggested, or shared with you, before acting.

However, don’t say you will get back to them on it, if you are not going to, as follow through is vital when communicating with your staff.

I once worked for a boss who would allow all of us to come into his office to talk to him. He always had great intentions of getting back to us with our concerns…but, rarely did. Most everyone gave up trying to communicate with him, and eventually left over frustration of nothing ever getting done.

4. Make it Fun  

I know, it’s still the workplace. But, if the atmosphere is a relatively fun one to come to, they will be more enthusiastic, leading to more production. That is, if the fun doesn’t get carried away.

Here are some ideas on how it can be more fun, as well as productive:

* Have a casual day once a week.
* Let them listen to music of their choice, as long as it’s not interfering with the business.
* Host a potluck once a month.
* Have a production contest each month, with prizes such as concert tickets, or a gift certificate.

These are ideas that can actually encourage production, while not cutting into work time. Remember, most people work because they have to, not because they want to. So, let them enjoy the little things.

5. Reward System

It’s a great feeling to contribute to the well-being of a team, especially if it’s appreciated. If someone makes a suggestion that saves the office money, or leads to higher revenue, acknowledge it.

First, make note of it in the next staff meeting. Let everyone know how much you appreciated this person’s efforts. Second, reward them with a nice surprise. A small bonus would be wonderful for anyone, or a gift certificate. And, by doing this in front of everyone else, it will encourage them to come to you with their ideas.

It doesn’t have to be big, but most everyone enjoys a little recognition for their efforts.
